Collingwood Veterinary Services is looking for a Clinic Coordinator who is ready to take on more responsibility, lead our Client Service team, and play an integral role in the day-to-day operations of our hospital. This is an exciting opportunity for someone interested in developing their leadership skills, expanding their operational knowledge, and growing toward a management role while continuing to make a meaningful impact on patient care.
This role is much more than answering phones and checking clients in and out. Our front desk is the hub of the hospital. We set the tone for every client interaction, coordinate the flow of the day, solve problems, and help ensure our veterinarians and technicians can provide exceptional care to as many pets and families as possible.
As our Clinic Coordinator, you’ll work closely with hospital leadership to support the Client Service team while taking ownership of many of the administrative and operational responsibilities that keep our hospital running smoothly. You’ll have the opportunity to contribute ideas, improve processes, mentor teammates, and help shape the future of our growing practice.
What You’ll Do
Coordinate and support the daily operations of our Client Service team.
Build meaningful relationships with clients through compassionate, confident communication.
Help manage appointment flow to maximize efficiency while ensuring excellent patient and client care.
Coordinate referrals, specialist communication, and medical record transfers.
Oversee front-end inventory management and ordering.
Assist with training, onboarding, and mentoring Client Service Representatives.
Collaborate with hospital leadership on workflow improvements, new initiatives, and process development.
Help maintain the high standard of client service our hospital is known for.
We’re Looking For Someone Who
Has experience as a veterinary Client Service Representative and is ready to grow into a leadership role.
Excels in client-facing, relationship-building interactions and understands that exceptional service is about creating trust and connection.
Thrives in a fast-paced environment and enjoys juggling multiple priorities.
Can anticipate problems before they happen and is an excellent organizer.
Enjoys coaching and supporting teammates to help them succeed.
Is compassionate, positive, solution-focused, and takes pride in helping both clients and colleagues.
Is comfortable learning new technology and veterinary software such as Avimark (experience is an asset).
