Position Overview: Timmins Animal Hospital is seeking an experienced Hospital Administrator to join our innovative team in a full-time capacity at the Hospital. Experienced RVTs encouraged to apply! This is the perfect opportunity for an experienced RVT that would like to continue utilizing all their RVT skills and simultaneously assume managerial responsibilities. This a current vacancy for a full-time position.

People managers with experience in the veterinary industry, dentistry (dental), ophthalmology, physiotherapy, chiropractor, operations, management, retail, restaurants (food services), accounting, or a related professional service focused on customer service are also encouraged to apply.
The successful candidate will be scheduled for an average of 40 hours per week over 5 days.

As a Hospital Administrator at P3, you own overall responsibility for the performance and success of the hospital, including patient care, client service, teamwork, and administration. Success comes from combining an understanding of clinical best practices with strong leadership that helps the team grow and deliver excellent results. Success in this role involves meeting goals, and more importantly, it’s about how leadership is practiced everyday. Hospital Administrators lead with purpose, showing commitment, honesty, adaptability, and clear communication. They stay focused on priorities, approach challenges with sound reasoning, and ensure decisions are fair, consistent, and forward-looking. Collaboration is also essential. Hospital Administrators embody a one-team approach, working alongside others to build mutual respect and trust which extends to home office colleagues and the broader community.
Hospital Administrator – Accountabilities of Role
1. Lead, Manage, and Accountability (L.M.A.)
- Provide coaching, mentorship, training, and development opportunities.
- Ensure resources are in place for exceptional patient care and client service.
- Act as a positive role model, celebrate success using a collaborative approach and foster open, productive relationships.
- Set clear team and individual expectations, monitor progress, and provide timely feedback.
- Direct the team in alignment with best medicine, client service standards, and efficient workflows.
- Address underperformance quickly to ensure the right people are in the right seats.
2. Operational Excellence & Compliance
- Grow clinic revenue through optimized scheduling and resource utilization to maximize appointment book saturation and service capacity.
- Maintain costs relative to revenue and oversee adherence to schedule authorization.
- Ensure inventory, cost of sales, and fee capture are accurate and aligned with budget.
- Ensure compensation practices align with budget and hospital needs.
- Oversee compliance with all mandatory and voluntary accreditations, certifications and policies.
- Complete reporting and administrative functions in a timely and accurate manner. (Weekly KPIs, A/P, A/R)
3. Client & Patient Experience
- Ensure smooth communication and service throughout every client visit.
- Resolve client concerns with urgency, empathy, respect, and professionalism.
- Maintain a clean, organized, welcoming hospital environment.
- Engage in marketing, social media content and community initiatives to attract and retain clients.
- Monitor client feedback (reviews, surveys, NPS) and implement improvements.
- Maintain a pulse on the clinic and surrounding community to understand client expectations and emerging needs.
4. Recruitment & Team Development
- Manage staffing levels to balance patient care, client service, and budget.
- Work with home office colleagues to evaluate new hire requests and recruitment strategies.
- Network through the team and veterinary community to attract great recruits and locum support
- Act as a relationship manager for new hire, ensuring effective onboarding.
5. Business Plans & Financial Acumen
- Align hiring and operational decisions with financial health and budget targets.
- Monitor KPIs and financial performance against benchmarks and budget.
- Prepare hospital business plans in partnership with home office colleagues
- Review pricing structure to maintain competitive positioning and maximize growth
- Prioritize and evaluate equipment and facility needs, preparing business cases for major purchases.
- Understand the competitive landscape and incorporate insights into business plans and decision-making.
6. Innovation & Growth
- Use data platforms (PIMS, AllyDVM, VetSource, etc.) to track results, analyze trends and identify opportunities.
- Implement actionable strategies to capture revenue and improve patient care (diagnostics, nutrition, wellness compliance, dentals, surgeries, reminders, forward booking, etc.).
- Test and adopt new ideas that improve efficiency and grow services, new clients, revenue capture.
- Embrace accreditations and certifications as frameworks for long-term sustainability.
- Champion initiatives that elevate patient care, client experience, and team performance.
Qualifications:
- A minimum of two years of experience providing onsite leadership and oversight of a veterinary or medical health care team is preferred
- Education and training in business administration preferred
- In-depth understanding of Human Resources and proven experience leading and innovating practices preferred
- A vision to foster an inclusive, employee-centric culture
- Experience developing strategic and multi-year business plans, resource forecasts, and in managing operational budgets
- Experience with coaching, conflict resolution, and performance management
- Proven ability to build and nurture relationships at all levels
- Ability to influence and communicate in a clear and effective manner
- An approach that is progressive, strategic, humble, and achievement oriented
- Exemplary oral and written communication skills
