Position Overview

As a first point of contact, responsible for interfacing and servicing the public, including responding to Animal Services related enquiries; logs all incidents concerning animal control and handles animals brought into the shelter. Conducts telephone, email, and counter reception; receives, assesses, enters complaints, and directs to the appropriate officer. Provides clerical and administrative support services to Animal Services Unit i.e. keyboards, files, prepares correspondence; minute taking and handling of confidential information. Provides support to Animal Services management, as required.

Qualifications and Experience

• Successful completion of a Post-Secondary Diploma in Business Administrative or Legal field, or suitable equivalent.

• Minimum of two (2) years of administrative / clerical experience, preferably in an animal-related field or Municipal Law Enforcement environment.

• Demonstrated ability to deal effectively and courteously, in a calm and professional manner when interfacing with the Mayor and Members of Council, all levels of staff, the general public and external agencies.

• Comprehensive knowledge of alpha, numeric and chronological filing systems is required.

• Knowledge of Municipal Freedom of Information and Protection of Privacy Act (MFIPPA) as it relates to job functions, and solid judgmental skills in the preparation of updates and reports in adhering to the Freedom of Information legislation.

• Competency in data entry and demonstrated use of Microsoft Office Suite is required.

• Strong communication skills, both oral and written, coupled with effective listening skills. Proven ability to extract information and accurately report on status of investigations in a written format.

• Analytical and sound decision-making abilities coupled with basic knowledge of (10) ten codes/signals.

• Ability to multitask in a fast-paced / time sensitive environment and work independently to prioritize and complete daily activities. Organized and effective time management skills.

• Knowledge and competency in the identification (ie. breed, age, gender, etc.) and
handling of animals, primarily cats and dogs. Knowledge of animal shelter regulations as per the Animals for Research Act.

• Knowledge of, and demonstrated ability in, City core competencies and relevant functional competencies.

• Valid Ontario Class ‘G’ Driver’s License, in good standing and a reliable vehicle to use on corporate business.

• Must be flexible in work schedules with the ability to work shifts, including evenings, weekends and holidays, as required, and in accordance with the Collective Bargaining Agreement.
