Call for Volunteers: OAVT 2024 Conference

The OAVT 2024 Conference is looking for volunteers to assist as session moderators and staffing the OAVT exhibitor booth. Members in good standing with the OAVT are eligible to apply. The OAVT 2024 Conference will be hosted in person from February 29-March 2, 2024 in Hamilton. Volunteers should be comfortable speaking in front of a large group (to introduce speakers) and greeting members at the OAVT booth.

NEW in 2024, the OAVT is looking for Student volunteers to act as runners for a full morning or full afternoon each day, leaving time for session attendance on the other half days. (ONLY students may apply for this role).

Training: Volunteer training will be hosted in January. There may be more than one training session to ensure all volunteers are comfortable with their role.

We endeavour to complete volunteer selections by December 8, 2023 so that volunteers are able to maximize their discount by taking advantage of Early Bird pricing that ends on January 5, 2024.

A Session Moderator will be responsible for:

  • Scanning delegate badges as they enter the room
  • Welcoming and introducing the speaker
  • Managing signage (such as "Room Full" signs)
  • Managing situations within their room including adherence to room capacity guidelines
  • Thanking the speaker and providing reminders at the end of the session

A Booth Volunteer will be responsible for:

  • Greeting attendees at the OAVT booth
  • Directing members to a variety of flyers or information about their inquiry
  • Answering commonly asked questions (with information provided during training)
  • Managing other activities happening within the booth (such as giveaways or contests)
  • Identifying or tracking inquiries that should be addressed by other OAVT staff members

A Zone Lead acts as a liaison for session volunteers within a group of session rooms. Zone Leads help with escalating any issues within session rooms to the Volunteer Lead, or OAVT staff. Zone Leads will require an additional training session from other volunteers. Zone Leads must be available for both days of the conference. Zone Leads will be able to join a CE session 5 minutes after sessions have begun (to ensure no additional issues arise).

Availability & Track Interest

Availability: Volunteers must be available for at least 3 hours per day. Preference will be given to those available both days of the conference.

Remuneration: As volunteers fulfill essential positions within the conference they are eligible to receive a $15/hr of volunteer time discount on their Conference pass. There is a maximum discount of $75 per day.

Student Volunteer

Student Volunteers must hold a current OAVT student or pending membership and be in good standing. The membership must be valid through March 2024. Student Volunteers will be assisting with moving and set-up of lab supplies and equipment. Student Volunteers will receive a complimentary conference pass for the day that they volunteer. For example, if a student is volunteering on Friday morning, they will receive a complimentary Friday Conference pass allowing them to attend the conference for the full Friday.
